What Does a Transaction Coordinator Actually Do for a KW Agent?

A real estate transaction coordinator (TC) for a Keller Williams agent manages every administrative task between contract acceptance and the final closing — so the agent can stay in production. Here's what a PLS TC actually does on a KW transaction.

Hour 1: Contract intake and KW Command setup

Once the executed contract lands in the TC's inbox, the file gets opened in KW Command as a new Opportunity. The TC populates the contact records, attaches the contract, sets up the Greensheet, and submits the initial paperwork to the MCA — usually within a few business hours of receiving the contract.

Day 1-2: Open title and lender

The TC sends the executed contract to the title company, opens the file with the buyer's lender, requests the title commitment, schedules the home inspection within contract deadlines, and confirms the EMD has been delivered. All of this happens while the KW agent is doing what they do best — selling more homes.

Throughout the deal: Deadline tracking and brokerage compliance

Every contingency, every deadline, every disclosure has a clock attached to it. The PLS TC tracks them all, flags anything that's slipping, manages document compliance for the KW market center, and makes sure nothing falls through the cracks. When the MCA asks for something, the file is already ready.

Closing week: Coordinating the wire and the walk-through

The TC confirms clear-to-close with the lender, coordinates the final walk-through, verifies wire instructions, confirms keys at closing, and chases anyone holding up the table. After the close, the file gets archived in KW Command with all paperwork in order — ready for the MCA audit and for the next time the client refers.

What the KW agent does during all this

Sells. Meets with buyers. Lists more properties. Goes to the gym. The whole point of leveraging a TC is to take 10-15 hours of administrative work out of every transaction so the agent can focus on revenue-producing activities.
